Moving your email, done properly
Moving a business's email is one of those jobs that has to be right first time. Lost emails, missing contacts or a day without email can cause real problems. We plan each migration carefully so your old emails, folders, contacts and calendars come across, and your team keeps working throughout.
We carry out Microsoft 365 migrations for small businesses across Stoke-on-Trent, Newcastle-under-Lyme, Leek and the Staffordshire Moorlands.
What we can move
- Exchange Server to Microsoft 365. Microsoft ended support for Exchange Server 2016 and 2019 in October 2025, so if you still run your own mail server, now is the time to move.
- POP and IMAP email to Microsoft 365. For example, email hosted with your web host or broadband provider.
- Google Workspace (Gmail) to Microsoft 365, and Microsoft 365 to Google Workspace if that suits you better.
- One Microsoft 365 account to another, for example after a merger or a change of business name.
How a migration works
- A look at what you have. We check your current email, how many mailboxes there are, how much data, and where your domain is managed.
- A plan and a date. We agree a switch-over date, usually out of hours or over a weekend, and tell your team what to expect.
- Copying the email across. Old emails, folders, contacts and calendars are copied to Microsoft 365 ahead of the switch.
- The switch-over. We update your domain's records so new email arrives in Microsoft 365, then copy across anything that arrived in the meantime.
- Setting up devices. We get everyone's computers and phones connected to the new mailboxes and check everything is working.
Common questions
Will we lose any emails?
No. Your old mailbox stays in place until we've checked that everything has arrived in Microsoft 365, so nothing is lost along the way.
How long does it take?
For most small offices, the planning and copying take a few days, and the switch-over itself happens in a single evening or weekend.
Will our email address change?
No. You keep the same email addresses. Only the service behind them changes.
